Privacy Statement

Sustainability West Midlands is committed to the data protection of its customers and demonstrates compliance with the Data Protection Act (May 2018) and the General Data Protection Regulation 2018.

Your data

We will collect the following personal data:

  • Contact details including your name, business address, email address and phone number if you become a member of SWM.
  • Contact details including your name and email address if you sign up for our newsletter service.

We will process your personal data because you give us your consent or because we have a legitimate purpose for processing. We will always ask for your consent before processing data for direct marketing such as sending you newsletters or information about our organisation, events and campaigns.

We will use your data for the following purposes:

  • To send you newsletters
  • To send you information about our organisation, events and campaigns
  • In our day-to-day work
  • To respond to any queries you may have

We will keep your data in line with our Data Retention for a maximum of two years unless you give us your consent again or if you withdraw your consent, or if we no longer have a legitimate purpose for processing. We will then delete your personal data.  Sustainability West Midlands endeavours to maintain accurate records of personal data.

We will never sell your data and we won’t share your data with third parties without your specific consent.

Your data is stored securely via a web-based contact relationship management system.  Sustainability West Midlands processes all data manually and does not undertake automated decision-making processes. Privacy by design is mandatory to all new projects and storage systems at Sustainability West Midlands.

Sustainability West Midlands monitors information acquired via the website to better understand how the site is being used and how it can be improved. This type of information is collective and anonymous data (such as the total number of website visitors) and does not identify individuals. These statistics are collected on a regular basis and may occasionally be communicated to funders of our communications work. This will never include information which would allow individual customer identification.

Your rights

As the data subject, you maintain the right to:

  • Request for details and copies of existing personal records to be given
  • Withdraw consent for processing or retention of data at any point
  • Request for the rectification of personal records
  • Lodge a complaint with the Information Commissioners Office
